About the Student Portal

  1. What can I do on the Student Portal

    The student portal is an online portal on which you can view qualification documents that have been issued to you, share those documents electronically with others and order printed copies. The student portal can be accessed on any device; PC, laptop, tablet and mobile phone.

  2. Is there a charge for using the Student Portal

    There is no charge for using the Student Portal to view or share documents. There may be a cost associated with ordering printed copies of documents via the portal.


Accessing the Student Portal

  1. How can I access my documents?

    To access the Student Portal for the first time, you need to register. Click on the "Register" button, then complete the requested registration details. When you have completed the registration process you'll receive an email with a verification link. Click the link to verify your account. The details you enter during the registration process will be matched against the details held in the system. If the details you enter match the details held in the system you will be automatically approved to access your documents. If any of the information you supply does not match the details held in the system your registration will be reviewed by an administrator before access is granted.   2. I haven't received the email to confirm my email address after completing the registration process. What should I do?

    Please check your email spam and/or junk folders as your email provider may not have recognised the sender as a safe sender and re-directed it from your inbox. If after checking your spam and junk folders you still have not received your confirmation email please contact us using the details on the Support page providing your name, date of birth and student number.

  3. I have registered but have received a message saying that my account must be approved?

    During the registration process your information is matched with the information we hold for you. If any part of the information provided does not match, your account registration must be checked and approved. Once the account has been checked your account will be released and you will be able to log in.

  4. How do I log in to the Student Verification Portal?

    Once you have registered and created an account, you can log in using your username and password. Note: you will need to register to use the portal before you can log in.


Documents and Connections

  1. I have logged in but cannot see any documents. Where are they?

    This can be for one of two reasons:

    • a. You have created the wrong type of account (e.g. a third party account instead of a student account)
    • b. There are some errors in your account information.

  2. Why should I share my documents with other people ("3rd parties")?

    The documents issued to the Student Portal are official documents of the organisation and carry the same force as printed documents. As such, when you share these with another person / company, this allows that person / company to verify the qualification conferred by the document shared. For example, if you need to show a certificate to a potential employer, rather than providing the physical certificate it's much easier to share your digital document with the potential employer

  3. How do I allow a future employer or other party to verify my documents?

    The Service allows you to establish a connection with a third party, this can be a future employer or a university. When you create a connection with the third party, you can share your documents with them for them to verify electronically.

    The key steps to create a connection are as follows:

    • a. Navigate to the Connections tab and select Add Connection
    • b. Enter the third party's name and email address
    • c. Add a date on which you would like the connection to expire (optional). If left empty, it will set the date to be a month after the connection is initiated
    • d. Select Send
    • e. Use the checkboxes to select the documents you want the third-party to have access to.
    • f. Select Share Documents
    • g. Once the third party accepts the connection, the status will change from Pending to Active.
  4. I am a student/learner and the third party has not accepted my connection request.

    If the third party or student has not accepted your connection, please contact them directly.

    Please share full name and email address of your account, so they can easily locate you on the Service.

  5. I am a student/learner and my connection request with a third-party has expired, how do I extend it?

    When creating a connection, a student can specify an expiry date for the connection or if left empty, it will set the date to be a month after the connection is initiated. In case the connection has expired, the student can extend it by following the steps below:

    • a. Navigate to the Connections tab / select Manage next to Connections menu on the Dashboard
    • b. Locate the third party for whom you want to extend the connection
    • c. Click on the Extend Connection icon (clock icon) under Actions
    • d. Select a date and click save
  6. I am a student/learner and I have established a connection with the third party, but they cannot see any documents / I want to change the documents that are visible to them.

    You can edit the documents that each third party has access to at any point by:

    • a. Navigate to the Connections tab / select Manage next to Connections menu on the Dashboard
    • b. Locate the third party for whom you want to share the documents
    • c. Select the edit permissions icon under Actions
    • d. Check or uncheck documents
    • f. Select Share documents
  7. How will I know when I have new documents to view?

    Whenever a new document is available to view on the Student Portal you will be sent an email informing you that the document has been issued. Note that documents may be issued for a future date, and if so will not be available to view until that date. This will be indicated in the email.

  8. Are the digital documents on the Student Portal official documents?

    Yes - the digital documents issued on the Student Portal are official documents of the organisation and carry the same force as printed documents.

  9. Can I print or download the documents issued on the Student Portal?

    The Student Portal allows you to access and view a digital version of your document and enables you to share that document with any other person. By design, these digital documents are not intended to be downloaded or printed, and if printed or downloaded are not valid documents outside of the portal.

  10. How do I report an issue with a document?

    If you think something on your document is incorrect then use the 'Report' function (yellow button) in the view documents section of the Student Portal and describe the problem. This will send a message to the Admin team and can be checked for you.

  11. How long is my document available for on the Student Portal?

    All digital documents are available on the portal in perpetuity.


Registration and User Account

  1. During registration, I cannot select my date of birth easily, what should I do?

    The date of birth section does not allow users to manually type in their date of birth. In order to select your date of birth easily, without too many clicks, please click on the month to change the view to year and then decade. You will then be able to navigate to your year of birth without too many clicks. If you cannot manage this please set it to the correct date in the current year and then email [email address] with your full name and date of birth.

  2. I was a student/learner a long time ago and no longer know my student number / enrolment number, so how can I register?

    You may have been assigned a student number. If you cannot find it, please email us at [email address] with your full name as it was when you were a student, date of birth and the course you studied.

  3. How do I de-register from the portal?

    Please email us at [email] and we will delete your account.

  4. How do I change my personal details?

    Click the "Manage" button under the profile section and update the details you require, saving them once complete. If you choose to add an address to your profile, this can be used as a billing addres and/or delivery address when ordering printed copies of documents.

  5. How do I change my password?

    Click the "Manage" button under the profile section and the change password option. Update your password as required and click the save button.

  6. What do I do if I have forgotten my password?

    Click on the "forgot my password" link on the log in page and follow the steps to reset your password.

  7. Will updating contact details on the Student Portal update my details with the organisation?

    No - Updating your contact details in the Student Portal will NOT mean that your details are also updated on the Student Records System. If you wish to update any of your details on the Student Records System please contact us using the details on the Support page
